Adding a person is sometimes the right answer. Often it is a signal that a process is more manual than it should be. Before hiring, it is worth checking whether the work is genuinely a job or just an unautomated task.

1. Enquiry capture and first response

If enquiries arrive across WhatsApp, email, social and the website and each one is handled by hand, you are paying for coordination. Capture and acknowledge automatically, then let people handle the parts that need judgement.

2. Follow-up

Most lost sales are not rejected. They are forgotten. A follow-up system ensures every serious enquiry gets a second and third touch without anyone having to remember.

3. Quotes and proposals

If quotes are built from the same information every time, they can be generated from a structured template and reviewed by a person. This cuts turnaround time and inconsistency.

4. Order and status updates

Customers asking "where is my order?" is a sign the information exists but is not being shared automatically. Status updates can be sent without a person retyping them.

5. Reporting

If someone spends the first day of every month assembling numbers from different systems, that can be automated. The report is more useful when it is regular and consistent.

The test

For each task ask: is this repetitive, rule-based and high volume? If yes, automate it. Is it judgement, relationships or negotiation? Keep it human.
